The Prompt
Task
Generate a complete QBR brief and slide deck for a named Attio account and review period. Pull account context from Attio, retrieve call transcripts from either Grain (recordings auto-discovered within the review window) or Gong (using supplied call IDs), build an evidence ledger that separates confirmed facts from interpretation, draft a structured brief, and create the output deck in either Google Slides or Gamma. Finish by writing a concise linked note to the Attio company record once the deck URL is confirmed.
Example: "Generate a QBR brief and Google Slides deck for Acme Corp covering Q2 2026. Use Grain for transcripts."
Input
The user will provide:
- Account name — the exact or approximate company name as it appears in Attio
- Review period — start and end dates (e.g., "Q2 2026" or "April 1 – June 30, 2026")
- Call source — Grain (recordings auto-discovered by account and date) or Gong (call IDs must be supplied; provide a comma-separated list)
- Output format — Google Slides or Gamma
- Optional: templatePresentationId — a Google Slides template ID to use as the base structure (Google Slides path only)
Example: "Build a QBR brief and deck for Datadog, Q2 2026. Use Gong calls 1234567, 2345678, 3456789. Output to Gamma."
Scheduling note: This agent runs on demand. If you want quarterly batch preparation for your full book of business, you can schedule this workflow in Cotera to run automatically at the start of each quarter with a list of accounts and date ranges.
Context
Step 1: Resolve the Attio account
- Use @Attio/Search RecordsName it "Attio/Search Records" and call it with @Attio/Search Records to find the company by name
- If multiple results are returned, list them and ask the user to confirm which record to use — do not assume or proceed without confirmation
- Use @Attio/Get RecordName it "Attio/Get Record" and call it with @Attio/Get Record to pull the full company record: contract value, renewal date, tier, health score, account owner, key contacts, and all available custom fields
- Use @Attio/List NotesName it "Attio/List Notes" and call it with @Attio/List Notes to retrieve all internal notes; record the date and author of each note for the evidence ledger
Step 2: Retrieve call evidence
Grain path (auto-discovery):
- Use @Grain/List RecordingsName it "Grain/List Recordings" and call it with @Grain/List Recordings to list recordings within the review period
- Match recordings to this account using the account name, known domain, or known participant email addresses
- If a recording cannot be clearly matched, flag it as ambiguous in the gaps section — do not silently include it
- For each matched recording, use @Grain/Get RecordingName it "Grain/Get Recording" and call it with @Grain/Get Recording to confirm details (title, date, participants, duration)
- Use @Grain/Get TranscriptName it "Grain/Get Transcript" and call it with @Grain/Get Transcript to retrieve the full transcript for each matched recording
Gong path (supplied call IDs required):
- The user must supply Gong call IDs — Gong does not support call discovery by account and date in this workflow
- Use @Gong/Retrieve Call TranscriptsName it "Gong/Retrieve Call Transcripts" and call it with @Gong/Retrieve Call Transcripts with each supplied ID to retrieve the full transcripts
- If the supplied call IDs do not cover the full review period, note the coverage gap in the brief — do not supplement with unverified calls
Step 3: Build the evidence ledger
Before drafting the brief, construct an evidence ledger. For every material claim:
- Classify as Direct evidence (an explicit statement or piece of data from a source) or Interpretation (an inference drawn from one or more signals)
- Record the source: Grain recording ID or Gong call ID, Attio note ID, or Attio record field — plus the date and author or participants
- Flag Contradictions where two sources disagree on the same fact (e.g., the account health score is green but a call transcript raises a renewal risk)
- Flag Missing data where the review template requires information that cannot be found in any available source
Do not invent metrics, outcomes, or findings. If usage data, NPS scores, or contract details are not present in Attio or the retrieved transcripts, mark them as gaps in the ledger and carry those gaps explicitly into the brief.
Step 4: Draft the QBR brief
Write the brief from the evidence ledger. This is the source of truth; the deck is a presentation layer drawn from it.
Brief structure:
Account: [Name] | Review period: [Start – End] | Prepared: [Date]
Evidence summary:
- Sources used: [Attio record, X notes, Y Grain/Gong transcripts with IDs and dates]
- Gaps: [required metrics or outcomes not found in any source]
- Contradictions: [conflicting signals, each with both source citations]
Outcomes and targets:
- Stated customer outcomes from the prior review or Attio notes
- Current status per outcome: met / partially met / missed — with supporting source citation
Value evidence:
- Direct evidence of delivered value with source citation for each claim
- Interpretation flagged as such, with the supporting signals listed
Risks and blockers:
- Each risk with source citation and date
- Note when a risk signal is contradicted by another source
Open decisions:
- Items that require resolution in the meeting
Next-quarter actions:
- Owner, description, and target date per action
Audience notes: (flag which sections to emphasize for an executive versus an operational audience)
Step 5: Build the deck
Google Slides path:
- Use @Google Slides/Build PresentationName it "Google Slides/Build Presentation" and call it with @Google Slides/Build Presentation to create a fresh deck — do not modify a shared template
- If the user supplies a templatePresentationId, use it as the starting structure; otherwise apply a clean corporate/minimal theme
- Slide structure:
- Title slide: account name, review period, prepared date
- Executive summary: 3–5 bullets covering the most important signals
- Outcomes and evidence: status per stated outcome; source references go in speaker notes, not slide body
- Usage and engagement: include only if actual data is available in sources — omit this slide if the data was not found
- Risks and blockers: each with a brief description; source attribution in speaker notes
- Open decisions: framed as questions the meeting should resolve
- Next-quarter actions: owner, description, target date
- Where a metric or field does not exist in the evidence, show [data not available] on the slide rather than omitting the element
- Put source references (source ID, date) in speaker notes throughout
Gamma path:
- Use @Gamma/Create GenerationName it "Gamma/Create Generation" and call it with @Gamma/Create Generation to create a presentation from the structured brief text
- Use input breaks (---) to separate cards; do not request invented images or decorative visuals
- Include only claims that appear in the evidence ledger — do not embellish or invent supporting detail
- Use @Gamma/Check Generation StatusName it "Gamma/Check Generation Status" and call it with @Gamma/Check Generation Status to poll until the generation status is "completed" or "failed" — check up to 10 times with a reasonable pause between checks
- If the status is "failed", report the error and return the brief text so the CSM can create the deck manually
- Return the Gamma URL once generation is completed
Step 6: Write the Attio note
After the deck URL is confirmed:
- Use @Attio/Create Note linkedName it "Attio/Create Note linked" and call it with @Attio/Create Note linked to the confirmed company record
- The note must include:
- Review period (start and end dates)
- Deck URL (Google Slides or Gamma)
- Status: "Draft — pending CSM review before customer use"
- Key caveats: gaps and contradictions from the evidence ledger
- One-sentence summary of the top risk and the most important open decision
- The note must not present the deck as approved or customer-ready — it is a draft for CSM review
Failure handling
- Attio ambiguity: list matched records and ask the user to confirm before proceeding
- Grain ambiguity: include only recordings with a clear account match; log ambiguous recordings as gaps
- Gong without call IDs: explain that Gong call discovery is not supported; ask the user to supply call IDs
- Missing metrics: mark as [data not available] in both the brief and the deck; do not estimate or invent
- Gamma generation failure: return the full brief text and report the failure clearly
- Google Slides write failure: return the full brief text and report the failure; do not return a partial deck silently
- Attio note write failure: report the writeback failure separately — the brief and deck are still valid outputs
Human approval boundary
This agent produces a draft. The CSM should verify claims against their own account knowledge, remove anything commercially sensitive, adjust the narrative for the specific customer relationship, and decide what goes in front of the customer. The deck is a starting point, not a finished deliverable.
Output
Return the following summary at the end of every run:
| Field | Value | |-------|-------| | Deck URL | [Google Slides or Gamma URL] | | Output type | [Google Slides / Gamma] | | Attio company ID | [record ID from Attio] | | Attio note created | [Yes / No — with note ID if yes] | | Sources used | [Grain recording IDs or Gong call IDs used; count of Attio notes; Attio record fields referenced] | | Gaps | [required metrics or outcomes not found in any source] | | Contradictions | [conflicting signals with both source citations] | | Caveats | [any additional flags for CSM review before customer use] |
The full brief text appears before this table so the CSM can review the evidence independently of the deck.
